Occupational Certificate: Office Administrator

Overview:

This occupational qualification allows the student to gain a variety of administrative skills needed to organize the operations of an office, such as information management and operational processes.
Qualified students will be able to assist management with office and information administration while exhibiting a variety of administrative and communication abilities. They will be able to work in Human Resources, Marketing, Public Relations, or Finance departments/units, allowing them to complete tasks professionally and efficiently in the increasingly computerized environment of a business office, in accordance with national and international standards in the field. The learner will also comprehend cultural diversity, intercultural communication, and the concepts of professional image and grooming in order to boost the organization’s image.
The purpose of the occupational qualification is to provide students with broad-based knowledge and abilities that will enable them to work in a small business or a large organization, public or private, and to develop their personal and career management skills in order to increase their employability.
The competent student will be actively involved in becoming a well-rounded, multi-skilled office administrator, ready for additional, more focused study in the many disciplines, allowing for simpler development pathways.

Course Requirement

The qualification is divided into parts in such a way that when taken in conjunction with related modules (e.g. Knowledge + Practical + Workplace Modules), learners can receive the Occupational Higher Certificate: Office Administrator after completing the required knowledge, practical and workplace modules within 18 months or two years, depending on the individual occupational sector.

  • Principles of the NQF in relation to Skills development and Workplace skills Plan administration.
  • Public relations, marketing and advocacy.

  • Communication and effective customer relationships.
  • Manage, coordinate and assist in the administration and clerical support of resources to facilitate the smooth and effective operational activities within the organisation.
  • Assist in the administration and preparation of the process of tendering of contracts.
  • Manage meetings.
  • Payroll processing and pay administrations.
  • Support the recruitment, selection and induction of staff.
  • Classify, identify, register, track and dispose of records and information.
  • Assist in the administration and preparation of the Workplace Skills Plan (WSP).
  • Provide administrative support to Marketing/Public relations divisions.
  • Prepare, install and dismantle exhibition elements.
  • Manage a small project.
  • Perform administrative and meeting support functions to support management.
  • Handle customer and client‟s queries and liaison in an office.
  • Marketing/Public relations and administrative support.
  • Assist in planning and coordinating at least two special events/conferences.
  • Procure and allocate resources.
  • Solicit tender offers in terms of a set of procedures.
  • Manage a paperless office.
  • Supervision and training of administration staff.
  • Assist in developing a Workplace Skills Plan according to employee training needs.
